R Hotel Terms and Conditions of Accommodation

Article 1 (Scope of Application)
1. Accommodation contracts concluded between this hotel and guests, as well as any related contracts, shall be governed by the provisions of these Terms and Conditions.

2. Matters not specified in these Terms and Conditions shall be governed by applicable laws and regulations or generally established customs

3. Where the Hotel agrees to special terms (special agreements) not contrary to laws, regulations, or established customs, such special agreements shall take precedence over the provisions of the preceding paragraph.

Article 2 (Application for Accommodation Contract)
1. Persons wishing to apply for an accommodation contract shall provide the following information:
  (1) Guest name, address, telephone number (or mobile phone number)
  (2) Date of stay, estimated arrival time, number of nights, number of guests
  (3) Accommodation fee (generally based on the rates of the hotel's booking source)
  (4) “Consent Form for Minors Staying at the Hotel” [if the person intending to stay is a minor (under 18 years old)]
  (5) Other items deemed necessary by the hotel

2. If an extension of the stay is requested during the accommodation period, it shall be treated as a new application for an accommodation contract at that time.

Article 3 (Establishment of Accommodation Contract)
1. The accommodation contract shall be established when the hotel accepts the application described in the preceding article. However, this shall not apply if the hotel proves it did not accept the application.

2. After the accommodation contract is established, the applicant shall pay the application fee specified by the hotel by the designated date, up to the basic accommodation fee for the stay period (or up to 3 days if the stay exceeds 3 days).

3. The application fee shall be applied toward the lodging charges. In the event of contract cancellation or damages, it shall be applied toward liquidated damages or compensation. Any remaining balance shall be refunded upon payment of the lodging charges.

4. If the application fee is not paid by the specified date, the contract shall become void. However, this shall only apply if the Hotel has provided prior notice to that effect.

Article 4 (Special Agreement Exempting Application Fee)
1. Notwithstanding the preceding article, the hotel may agree to a special arrangement waiving the application fee.

2. If the hotel does not request payment of the application fee or does not specify a payment due date, it shall be deemed to have agreed to this special arrangement.

Article 5 (Refusal to Conclude Accommodation Contract)
The hotel may refuse to conclude an accommodation contract in the following cases:
1. When the accommodation application does not comply with these terms and conditions.

2. When there are no available rooms due to full occupancy.

3. When the person seeking accommodation is deemed likely to engage in conduct contrary to laws and regulations, public order, or public morals in connection with the accommodation.

4. When the person seeking lodging is deemed likely to disrupt the peaceful operation of the hotel by engaging in violent words or actions toward hotel employees or other guests, detaining hotel employees for extended periods, or otherwise interfering with hotel employees' duties.

5. When the person seeking lodging falls under any of the following categories:
(1) Persons designated as organized crime groups or members thereof under the Act on Prevention of Unjust Acts by Organized Crime Group Members (Act No. 77 of 1991), or persons associated with such groups, or other antisocial forces (hereinafter referred to as “organized crime groups, etc.”)
(2) Corporations or other organizations whose business activities are controlled by organized crime groups, etc., or members thereof
(3) Corporations whose officers are members of organized crime groups, etc., or members thereof

6. When a person seeking lodging is clearly recognized as having an infectious disease.

7. When a person seeking lodging engages in violent demands or makes excessive demands such as the following:
(1) Provision of services not offered by this hotel
(2) Provision of services contrary to laws, regulations, or public order and morals
(3) Demands for post-contract discounts without justifiable reason
(4) Demands for room upgrades without justifiable reason, or provision of meals not included in the contract
(5) Other burdens exceeding reasonable limits

8. When verbal abuse, assault, threats, extortion, or fraudulent acts are directed at hotel employees or other guests.

9. When malicious posts containing false information or defamatory remarks about hotel employees or other guests are made on SNS, message boards, etc.

10. When accommodation cannot be provided due to natural disasters, facility malfunctions, or other unavoidable reasons.

11. When the person seeking lodging is intoxicated or otherwise likely to cause significant disturbance to other guests or hotel employees, or when such person has engaged in behavior causing significant disturbance to other guests or hotel employees (based on prefectural ordinances).

12. When a person seeking lodging has previously caused trouble at this hotel or any hotel operated by R Hotels & Resorts.


Article 6 (Guest's Right to Cancel the Contract)
1. Guests may cancel the lodging contract by notifying this hotel.

2. If the contract is canceled due to reasons attributable to the guest, this hotel will charge a cancellation fee based on the cancellation policy specified in the reservation plan made through the booking source.

3. If a guest fails to arrive by 8:00 PM on the scheduled arrival date (or two hours after the specified arrival time if provided) without prior notification, the hotel may treat the contract as having been terminated by the guest.

Article 7 (The Hotel's Right to Terminate the Contract)
1. The hotel reserves the right to refuse service at any time if any of the following circumstances become known after reservation or during the stay:
(1) When the guest is deemed likely to engage in conduct related to their stay that violates laws and regulations, requests from government agencies, public order, or public morals, or when such conduct has been committed.

(2) When the guest is deemed likely to disturb the peaceful order within the hotel by, for example, using abusive language or violence toward hotel employees, detaining hotel employees for extended periods, or engaging in acts that obstruct hotel employees' duties.

(3) When any of the following circumstances apply to the person applying for the accommodation agreement and related contracts or to a person using the hotel:
① When the person is a member of an organized crime group, an associate thereof, or otherwise affiliated with such a group.
② When the person is a member of a corporation or other organization whose business activities are controlled by an organized crime group, or a member thereof.
③ When the person is a member of a corporation whose officers include individuals falling under the category of organized crime groups, or a member thereof.
④ When a guest engages in conduct that causes significant nuisance to other guests.

(4) When a guest is clearly recognized as having an infectious disease.

(5) When violent demands are made regarding the accommodation, or when demands are made that exceed a reasonable scope of burden, including cases where similar behavior has occurred previously.
① Providing services not offered by this hotel
② Providing services that violate laws, regulations, or public order and morals
③ Demanding post-contract discounts without valid reason
④ Demanding room upgrades or providing meals not included in the contract without valid reason
⑤ Threatening, extorting, or defrauding hotel employees
⑥ Posting malicious content on SNS, message boards, etc., including false information or defamation of hotel employees
⑦ When making intimidating, unreasonable demands that impose an unreasonable burden, or when such behavior is recognized as having occurred previously at this hotel or any hotel operated by R Hotels & Resorts.
⑧ When engaging in acts similar to those listed in ① through ⑦ above.

(6) When accommodation becomes impossible due to force majeure such as natural disasters.

(7) When a person intending to stay is intoxicated or otherwise likely to cause significant disturbance to other guests, or when they have engaged in conduct causing significant disturbance to other guests (based on prefectural ordinances).

(8) When smoking outside designated areas, smoking in bed in guest rooms, tampering with firefighting equipment, or otherwise failing to comply with prohibited acts specified in the Hotel's usage rules.

2. When the hotel cancels the lodging contract based on the preceding paragraph, no charges shall be levied for lodging services or other services not yet provided to the guest.

Article 8
1. On the day of lodging, guests shall register the following information at the hotel front desk:
(1) Guest's name, address, and telephone number (or mobile phone number)
(2) For foreign nationals: nationality, passport number, port of entry, and date of entry
(3) For foreign nationals without a domestic address in Japan: In addition to the preceding item, a copy of the passport
(4) Departure date and scheduled departure time
(5) Names of accompanying persons
(6) Other information deemed necessary by the hotel

2. When a guest intends to pay fees using a credit card or other method substituting for currency, they must present such means at the time of registration specified in the preceding paragraph.

Article 9 (Room Usage Hours)
1. Room usage hours shall be from 4:00 PM to 11:00 AM the following day.
2. For usage outside these hours, the following additional charges shall apply:
   Until 1:00 PM: ¥1,000 per person per hour
   After 1:00 PM: One night's room charge

Article 10 (Compliance with Usage Rules)
Guests shall comply with the usage rules posted within the hotel.

Article 11 (Business Hours)
1. The hotel's business hours shall be announced via posted notices or at the information desk.
2. Business hours may be temporarily changed due to unavoidable circumstances.

Article 12 (Payment of Accommodation Fees)
1. The breakdown of accommodation fees shall be based on the rates listed on each hotel reservation site, etc.
2. Payment of accommodation fees shall be made in Japanese currency or by a method approved by the hotel at the front desk upon arrival or when billed.
3. Accommodation fees shall be charged even if the guest abandons their stay after the room has been provided.
4. Regarding the application of children's accommodation fees at this hotel, after comprehensively considering room safety, the usage status of shared facilities and equipment, and the provision system based on laws, regulations, and hygiene standards, the same accommodation fee as adults shall be charged to all guests, including preschool children and infants.
5. The rates specified in the preceding paragraph shall apply uniformly, regardless of whether a bed is used or additional bedding is requested.

Article 13 (Hotel Liability)
1. The Hotel shall compensate guests for damages incurred due to the Hotel's performance or non-performance of the lodging contract or related contracts. However, this shall not apply if the damages were not attributable to the Hotel's fault.

2. The Hotel's responsibility to provide a guest room to the guest shall commence when the guest completes check-in registration at the Hotel's front desk and shall terminate at the designated checkout time.

3. The Hotel maintains lodging liability insurance to address unforeseen events such as fire.

Article 14 (Handling When Contracted Rooms Cannot Be Provided)
1. If the contracted room cannot be provided, the Hotel shall, to the extent possible, arrange for alternative accommodation at another facility under equivalent conditions.

2. If mediation is impossible, the hotel shall pay compensation equivalent to the penalty fee, which shall be applied toward damages. However, no compensation shall be paid if the hotel bears no responsibility.

Article 15 (Storage of Luggage and Personal Belongings)
1. Luggage approved by the hotel prior to arrival shall be stored responsibly and delivered at check-in. However, storage is limited to the hotel's operating hours on the check-in and check-out dates.

2. The following items cannot be accepted for storage:
・Items or money valued at over ¥100,000
・Artwork or antiques
・Information storage devices (computers, smartphones, etc.)
・Items containing personal information (customer lists, etc.)
・Hazardous materials, excessively bulky luggage, heavy items, fragile items, or other items deemed inappropriate by the hotel

3. For items left behind after checkout, we will contact you for instructions and handle them as follows:
Valuables: Stored at the hotel for one month, then reported to the police
Other items: Stored at the hotel for one month, then disposed of
Food and other items posing hygiene concerns: Discarded the following day

4. The hotel reserves the right to inspect the contents of any unattended luggage or personal belongings to ensure their proper handling.

5. Liability for storage shall be governed by Article 13.

Article 16 (Guest Liability)
If the hotel suffers damage (including but not limited to facility repair costs or loss of sales opportunities) due to a guest's intentional act or negligence, the guest shall compensate the hotel for such damage.

Article 17 (Severability)
1. Even if any part of these Terms and Conditions or other usage rules is deemed invalid based on laws and regulations, the provisions of these Terms and Conditions and other usage rules excluding such part shall remain valid.
2. Even if any part of these Terms and Conditions or other usage rules is deemed invalid or rescinded in relation to a specific guest, these Terms and Conditions and other usage rules shall remain valid in relation to all other guests.

Article 18 (Disclaimer)
The Company shall be exempt from liability in cases falling under the disclaimers specified in these Terms and Conditions or other Terms of Use.

Article 19 (Governing Law)
The validity, interpretation, and performance of these Terms and Conditions shall be governed by the laws of Japan.

Article 20 (Amendment of Terms)
The Hotel may amend these Terms in the following cases:
・When the change is in the general interest of guests
・When the change is reasonably necessary and the content is appropriate

Article 21 (Notification to Police, etc.)
If a violation of these Terms and Conditions or other usage rules by a guest necessitates the protection of the rights, property, or services of other guests or the Hotel, the Hotel shall take appropriate measures, including notifying the police or other relevant authorities.

Furthermore, if the hotel determines that a guest's health, life, or safety is seriously endangered, the hotel may request emergency medical transport regardless of the guest's wishes.

Article 22 (Internet Communication)
Use of the hotel's internet service is at the guest's own risk. The hotel shall not be liable for service interruptions due to system failures or other causes, unless attributable to the hotel's fault. The hotel may suspend service and seek damages if inappropriate use risks causing harm.

Article 23 (Customer Harassment Policy)
1. If customer harassment toward hotel employees is observed, service provision will be refused.
・Physical attacks (assault, injury)
・Psychological attacks (threats, slander, defamation, insults, abusive language)
・Intimidating words or actions
・Demanding prostration
・Persistent (repeated), relentless (annoying) words or actions
・Constraining actions (refusal to leave, lingering, confinement)
・Discriminatory words or actions
・Sexual words or actions
・Attacks or demands directed at individual employees

2. In severe cases, we will contact the police, lawyers, etc., and take strict measures, including legal action.

Article 24 (Safety and Other Matters)
1. Fire alarms compliant with the Fire Service Act are installed throughout the hotel. When activated, an announcement may be broadcast throughout the premises. The hotel shall not be liable for any damages resulting therefrom.

2. During your stay, even if a “Do Not Disturb” sign is displayed, the hotel may enter your room at its discretion if contact cannot be made for an extended period or in case of emergency.

3. Unauthorized commercial photography or recording within the hotel or guest rooms is prohibited.

4. Visitors are not permitted in guest rooms.

5. Only registered guests may stay or reside in the rooms.

6. The hotel shall not be liable for loss or damage to items received on behalf of guests that is not attributable to the hotel.

7. The hotel address cannot be used for resident registration purposes.

8. In facilities with large baths, the use of mobile phones is prohibited in changing rooms and bathing areas.

Article 25 (Prohibited Acts)
Guests shall not engage in the following acts themselves or through third parties:
1. Registration or provision of false information
2. Fraudulent use of payment methods such as credit cards
3. Illegal acquisition or use of third parties' personal information
4. Using the hotel for business purposes without permission
5. Excessive bulk reservations or similar actions
6. Repeatedly making and canceling reservations without valid reason
7. Unauthorized access to systems
8. Sending or writing harmful programs
9. Removing, damaging, or defacing hotel property
10. Causing nuisance or damage to other guests or third parties
11. Infringement of the hotel's or third parties' intellectual property rights, personality rights, etc.
12. Violations of laws and regulations, criminal acts, or acts contrary to public order and morals
13. Other acts deemed inappropriate by the hotel
